Rental Agreement 

Polo Lodge

By booking and confirming your stay at Polo Lodge, you (“Guest”) acknowledge that you have read, understood, and agreed to the terms outlined in this Short-Term Rental Agreement. Your reservation and stay are subject to the terms and conditions outlined below.

Booking Confirmation

Your booking is confirmed once full payment is received, and a confirmation email is sent to the address provided during the booking. By completing the booking process, you accept all terms in this Agreement.

  • Check-In: After 16:00

  • Check-Out: Before 10:00

  • Maximum Occupancy: 10 Guests

Payment and security Deposit 

Payment Schedule

  • 50% of the total amount is due at the time of reservation.

  • The remaining 50% must be paid 30 days before arrival.

  • Failure to complete payment within the specified timeframes may result in automatic cancellation of your booking.

 
Security Deposit

  • A pre-authorisation of £500 of the total booking amount will be held on the day of arrival.

  • The pre-authorisation will be voided three days after departure, subject to no damages or outstanding charges.

 
Cancellation Policy

  • All paid prepayments are non-refundable.

  • Guests are encouraged to consider travel insurance to cover any unforeseen circumstances leading to cancellation.

Chargeable Amenities & Consumables

Certain amenities and consumables available at the property are subject to additional charges if used during your stay. These include, but are not limited to:

Wine Selection: Any bottles consumed from the provided wine selection will be charged at the rates listed in the welcome guide.

Firewood/Logs: A starter supply is provided free of charge; additional logs can be used for an extra fee.

Charges for these items will be deducted from the security deposit or invoiced separately if required. Guests are encouraged to review the pricing details available on-site.

House Rules

By booking, you agree to adhere to the following house rules:

  • No Smoking: Smoking is strictly prohibited inside the property.

  • No Parties or Events: Unauthorised gatherings will result in immediate eviction without refund.

  • Pets: Pets are welcome upon prior arrangement. A pet request form must be submitted before a booking is made. If a pet arrives without prior submission of this form and explicit approval from Bledisloe Estate Holdings Limited, we reserve the right to cancel the booking without refund. Additional pet fees may apply.

  • Noise Policy: Quiet hours from 22:00 to 07:00.

  • Cleaning: The property must be left in a tidy condition; excessive cleaning fees may apply.

Failure to comply with these rules may result in penalties, eviction, and additional charges.

Property Use & Guest Responsibilities

  • The Guest agrees to use the property for personal accommodation purposes only.

  • The Guest is responsible for any damages or losses incurred during their stay.

  • The Guest shall notify management of any maintenance issues promptly.

Liability Disclaimer

Bledisloe Estate Holdings Limited is not responsible for:

  • Any injury, accident, or loss incurred during the stay.

  • Loss or damage to personal belongings.

  • Interruption of services due to weather, natural disasters, or unforeseen circumstances.

  • Guests are advised to purchase travel insurance for coverage.

Property Access & Inspection

Management reserves the right to access the property for inspections, repairs, or emergencies with reasonable notice. In emergencies, entry may be made without notice.

Termination of Stay

Bledisloe Estate Holdings Limited reserves the right to terminate a guest’s stay without refund in case of:

  • Violation of any terms outlined in this agreement.

  • Disruptive behaviour or complaints from neighbours.

  • Unauthorised use of the property.

Privacy Policy

Your personal information is collected and processed under our Privacy Policy. This includes the collection of data necessary to process your booking, facilitate communication, and improve our services. By booking with us, you consent to the collection and use of your data as described in our policy.

Terms and Conditions

By booking your stay, you also agree to comply with the Terms and Conditions, which outline additional legal obligations, guest conduct expectations, and other essential provisions related to your rental. Please review them carefully before confirming your booking.

Governing Law

This agreement is governed by the laws of England & Wales and any disputes will be resolved in the courts of England & Wales.

Acceptance of Terms

By completing your booking, you confirm that you have read and agreed to the terms of this Short-Term Rental Agreement.
